05/09/2017-Parks Rec-Minutes-Regular MINUTES: Parks and Recreation Board May 9, 2017 MEMBERS PRESENT: Eddie Piercy, Jackie Turner, Alicia Metcalf, and Jason Collett MEMBERS ABSENT: Carrie Bilyeu, Joshua Shumate, and James Fox OTHERS PRESENT: Recreation Coordinator Jennifer Shumate 1. Meeting called to order. 2. Pledge. 3. Citizen’s Input. • No citizens in attendance. 4. Consider minutes of the meeting of April 11, 2017. • Minutes approved unanimously after a motion to approve by Eddie Piercy and a second by Jason Collett. 5. Follow Up on Easter Egg Hunts to be Held on Both April 14, 2017 and April 15, 2017. • The board agreed that both were great events with both exceeding attendance expectations. • Discussions were made on how to better prepare for the increased attendance including having more Easter Eggs available at both hunts. 6. Follow Up on Coffee Run to be Held on April 29, 2017. • 54 registered participants ran. Jennifer Shumate felt that attendance was down in part to the thr eat of severe thunderstorms all week. • All the participants enjoyed the event and look forward to running it again next year. • The vendors that participated in the event also felt the run was positive and hope to offer support to the City with future events. 7. Fishing Derby to be Held on May 20, 2017. • Board was notified this was placed on agenda to remind them of the date. 8. Movie in the Park to be Held on June 9, 2017. • Board was advised that their help was not as necessary at this event because it is run by the company contracted out. But board was reminded of the date and that the movie will be shown at Porter Park. • Jennifer Shumate did advise that marketing has been started and the success of the Chamber of Commerce’s movie in the park we are more excited than ever to offer this to our citizens. (Chamber of Commerce had approximately 150 citizens out to watch the movie played in the downtown park.) 9. Keep Sanger Beautiful / Keep Texas Beautiful / Keep America Beautiful. • Jackie Turner gave an update on Keep Sanger Beautiful the included her completing the Litter Index Report as well as the beginning the application process for a Lowe’s grant for $20,000.00 to plant trees in the city. The Lowe’s grant application is due by June 5, 2017. • A reminder was made that the announcement of the grant will be done during our movie in the park event on June 9, 2017. • Jackie also stated that the bins from the recycling grant were due to us Mid-May. • Ms. Turner also updated the board on all things Keep Sanger Beautiful. 10. Open Discussion of Future Projects. • Jennifer Shumate updated the board on the booth that the Parks and Recreation Department had for the Sanger Area Chamber of Commerce’s Spring Fling that was held on May 6, 2017 along with their movie in the park. The board had a lot of participation in our booth that included the game “bean bag toss” and we gave out over 30 flyers for our upcoming events. 11. Future Agenda Items. • Movie in the Park Event to be Held on June 9, 2017. • Freedom Fest to be Held on July 1, 2017. • Potential Halloween Event for Teens (similar to the Teen Easter Egg Hunt). 12.
