above items may be considered in executive session closed to the public. Any final action, decision or
vote on such matter will be made in open session following die conclusion of the executive session.

Fr: Rose Chavez, City Secretary
Re: 2"d Election
The purpose of this meeting is to call the 2"d election for City Council Place S beiween Andy Garza
and Rusty Patton. It is so important that we meet on this date to comply with the State Law Election
Code requirements. The Election Code requires the election to be conducted no later than 30 days
and no earlier than the 20' day after the canvass. The early voting will be conducted on June Pt
thru June 7' during weekdays. The Mayor and I have visited and we agreed that we need to get two
clerks to work the early voting instead my staff as well as myself. The Secretary of State's office
has advised that I will still need to be the Early Voting Clerk ; Iowever, it is not necessary for me

to be in attendance during the early voting. I will be available for questions as I am during the
Election on June 1 l th. I am still working diligently in getting someone to be my Judge and Alternate
Judge for the Election. I hope to have this resolved by Friday.

Re: Appointment of Election Judges
The following individuals who will work the June 11, 2005 election are listed below. These
individuals will serve as my Early Voting Board.
Teresa Gannon -Presiding Judge -has worked in the capacity of Presiding Judge in
the past in our elections.
Sherry Lewis - Alternate Judge - currently serves on the Board of Adjustments.
Rose Anne Preston -Clerk - will work only part of the day. She will also work 2 days
as a clerk in the Early Voting,
Judy Yoast - Clerk
Britanny Coffey - Clerk - will work part of the day.
The following individuals have agreed to work as clerks during Early Voting:
